Privacy Policy

Save Email as PDF (the Outlook add-in and the Gmail add-on, together "the Service") is operated by Innova Apps ("we"). This policy describes exactly what data the Service processes and why. The short version: your email content is used only to produce the PDF you asked for, is deleted within 24 hours, and is never sold, shared, or used for anything else.
What we process, and why
- Email content and attachments. When you click the convert button, the message body, its metadata (subject, sender, recipients, date), and the attachments you selected are sent over HTTPS to our servers, converted to PDF, merged, and returned to you. This is the entire purpose of the product; nothing is converted unless you explicitly click the button.
- Your email address. Used to meter the free tier (3 merges per month) and to associate your purchase with your account.
- Usage counters. We store a per-month count of conversions per account.
- Payment data. Payments are processed entirely by Stripe. We never see or store your card details; we store only your Stripe customer reference and subscription status.
Where and for how long
- Processing happens on Google Cloud servers in Belgium (europe-west1).
- Generated PDFs are held in temporary storage so you can download them: download links expire after 30 minutes and files are automatically deleted within 24 hours.
- Conversion job data for the Gmail add-on is deleted as soon as the job finishes, and in all cases within 24 hours.
- Email content during conversion. In the Outlook add-in, the message body and attachments are processed entirely in memory and are never written to disk. In the Gmail add-on, because the conversion runs as a background job, the content you submit is written to temporary storage in the same Google Cloud region for the duration of that job. It is deleted as soon as your PDF is produced, and an automated sweep removes anything left behind by a failed or abandoned job. In both cases the content is gone well within 24 hours.
- Account records (email address, plan, usage counters) are kept while you use the add-in and deleted on request.
Google user data (Gmail add-on)
The Gmail add-on requests six permissions and no others:
- See and run Gmail add-ons. Lets the add-on appear and run inside Gmail. It grants no access to message content on its own.
- View the email messages you open. Gives us the one message you have open, and the other messages in that same conversation, at the moment you open the add-on. We cannot see any other message, label, folder, or mailbox content, and we cannot search your mail.
- Connect to an external service. Lets the add-on send the content you selected to our own conversion service and nowhere else. The allowed destination is pinned in the add-on's manifest, so it cannot contact any other host.
- See, edit, create and delete only the specific Google Drive files you use with this app. Used only when you press "Save to Drive", to create that one PDF. We cannot see anything else in your Drive.
- Sign in with Google and see your primary email address. Used to prove who is requesting a conversion, so we can apply your free allowance or your subscription. We never see or handle a password.
Nothing is read or sent until you press "Convert to PDF".
Limited Use
Save Email as PDF's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide and improve the user-facing feature you asked for: converting your email into a PDF.
- We do not transfer Google user data except as necessary to provide that feature, to comply with applicable law, or as part of a merger or acquisition with your consent.
- We do not use Google user data for serving advertisements of any kind.
- We do not allow humans to read Google user data, except with your explicit consent for specific messages, where necessary for security purposes such as investigating abuse, to comply with applicable law, or where the data is aggregated and anonymised for internal operations.
- We do not use Google user data to develop, improve, or train generalised artificial-intelligence or machine-learning models.
Who processes your data
- Google Cloud (Belgium, europe-west1) — hosting and document conversion.
- Google Apps Script — the runtime the Gmail add-on itself runs in.
- Stripe — payment processing, if you subscribe. We never see your card details.
We use no other processors, no analytics provider, and no advertising network.
What we never do
- No selling or sharing of your data with third parties (Stripe for payments and Google Cloud as hosting infrastructure are our only processors).
- No advertising, profiling, or training of AI models on your content.
- No reading of your mailbox. The Service can only access the message you have open — and, if you ask it to convert the whole conversation, the other messages in that same conversation — and only at the moment you use it. It cannot search your mail or reach anything else in it.
Your rights
You may request access to, correction of, or deletion of your account data at any time by emailing us (see below); we will delete your account record and usage counters within 30 days. If you are in the EU/EEA, you have the rights provided by the GDPR, including the right to lodge a complaint with your supervisory authority.
